The Bookings Coordinator plays a critical role in the smooth operation of our heli-skibusiness by managing all aspects of guest reservations and communication. The ideal candidate is a highly organized and detail-oriented professional with a passion for delivering exceptional guest experiences. They thrive in a fast-paced, seasonal environment and are confident managing logistics, communications, and multiple priorities at once. With excellent written and verbal communication skills, they are comfortable being the first point of contact for high-end clientele and take pride in creating smooth, personalized guest journeys from start to finish.

In this role, you’ll be the main point of contact for guests — handling bookings, answering questions, and helping plan unforgettable heli-ski experiences from the first email to the final goodbye. You Might Be a Great Fit If You:

  • Have a sharp eye for detail and stay on top of things
  • Write and speak clearly, professionally, and with warmth
  • Have worked in hospitality, guest services, or tourism
  • Know your way around booking systems (ideally 2 – 3years experience) or are quick to learn
  • Stay cool under pressure and love solving problems
  • Are naturally helpful, upbeat, and team-oriented
  • Appreciate the balance of hard work and mountain lifestyle

Core Responsibilities:

  • Reservation Management:

Handle all guest inquiries, bookings, and confirmations via phone, email, and online booking systems in a professional and polite way. Maintain accurate and up-to-date records of reservations, payments, and special requests.

  • Guest Communication:

Serve as the main liaison between the guest and the company. Provide detailed information about packages, availability, travel logistics, gear requirements, safety protocols, and other pre-trip details. Provide excellent communication skills, both written and verbal.

  • Itinerary Coordination:

Work closely with operations, guides, and lodge staff to ensure all logistics are in place for each guest’s arrival, stay, and departure — including flight transfers, lodging, dietary needs, and activity preferences.

  • Payment & Invoicing:

Process payments, send invoices, and track financial transactions related to bookings. Ensure all guest accounts are settled prior to arrival.

  • CRM and Database Management:

Update guest profiles and maintain booking software and customer databases to ensure accurate guest histories and preferences are recorded for future visits.

  • Problem-Solving & Support:

Address any issues or changes with professionalism and efficiency, offering alternative solutions when needed due to weather, cancellations, or schedule changes.

  • Detail-Oriented:

You're the kind of person who catches the small stuff before it becomes a big deal, and your written communication is clear, concise, and always professional.

  • Radio Dispatch:

Occasional help with dispatch and or coordination of support in the event of an accident.

  • Team Player:

You’re happy to jump in, help out, and support your crew whenever needed. Potentially assist in driving staff to the staging area to lodge.

Pay is $28 - 35/hour. (depending on experience)

You must have a valid driver’s license
